Setting Up the Rank and Department System

What is This?

This is the core of the entire bot. It defines the organizational structure of your faction:
  • Departments — faction subdivisions (e.g. “Patrol Division”, “Traffic Enforcement”). Each department has its own Discord role.
  • Ranks — employee positions (e.g. “Cadet”, “Officer”, “Sergeant”). Each rank is linked to a role, along with a list of roles automatically granted when reaching that rank.
When leadership hires, promotes, or dismisses an employee via /manage, the bot automatically grants or removes all required roles, updates their nickname prefix, and logs an official order while sending a DM notification to the employee.

How to Enable the System

  1. Run the /configure command.
  2. Open the “Rank System Settings” page.
  3. In the “Rank System Status” menu, select “Enabled”.
While the system is disabled, all employee management commands (/manage and related) are unavailable.

Department Mode

In the “Department Limit” menu, choose:
  • “Single Department” — employees can only belong to one department at a time. Recommended for most factions.
  • “Multiple Departments” — employees can belong to several departments simultaneously.

Setting Up Departments

Click the “Configure Departments” button.

Add a Department

  1. Click “Add”.
  2. Fill out the modal window:
    • “Department Name” — e.g. Patrol Division;
    • “Department Role” — select the Discord role for the division (required);
    • “Promotions and Hirings Channel” — channel where the bot publishes orders for promotions, hirings, and transfers (required);
    • “Demotions and Punishments Channel” — channel for orders regarding demotions, punishments, and dismissals (required).
You can create up to 50 departments, displayed 8 per list page.

Edit and Delete

  • “Edit” — select a department from the list, then specify new values. Unchanged fields remain as they were.
  • “Delete” — select a department from the list and confirm deletion.

Setting Up Ranks

Click the “Configure Ranks” button — a list of “rank = granted roles” will open.

Add a Rank

  1. Click “Add”.
  2. In the modal window:
    • “Rank” — select the Discord role representing the position (e.g. Officer);
    • “Granted Roles” — select one or more roles (up to 25) that the bot will grant to the employee when this rank is assigned.
Create ranks from bottom to top: junior positions first (“Cadet”), followed by senior ranks. You can create up to 50 ranks.
In “Granted Roles”, it is convenient to include not only the rank role itself, but also associated permissions: channel access roles, general faction roles, etc. The bot assigns them automatically upon promotion.

Dismissal and Blacklist Types

Click the “Configure Dismissals” button, then choose the desired option.

Dismissal Types

  • Click “Configure Dismissal Types”“Add Dismissal Type”.
  • Enter a name (e.g. Voluntary Resignation) and select roles granted to the employee upon this type of dismissal.

Blacklist Types

  1. Click “Configure Blacklist Types”“Add Blacklist Type”.
  2. Enter a name (e.g. Faction Blacklist) and select:
    • “Primary Blacklist Role” — main role automatically removed when the blacklist duration expires;
    • “Additional Roles” — other roles (e.g. global server blacklist).
The blacklist duration is specified at the moment of issuance via /manage, not here. You can specify a duration (3d, 14 days) or “forever”. When expired, the bot removes the roles automatically. Up to 25 types per category.

Global Settings (Shared Channels)

The “Global Settings” button in the departments list opens settings applied faction-wide:
  • Status — enable or disable using shared channels instead of individual department channels.
  • “Promotions and Hirings Channel” — receives promotions, hirings, and transfers for all departments.
  • “Demotions and Punishments Channel” — receives demotions, punishments, dismissals, and suspensions.
  • “Shared Faction Roles” — roles (up to 25) granted to every employee upon hiring/promotion/transfer and removed upon dismissal (e.g. faction server member role).

Prohibited Roles

The “Prohibited Roles” page lets you designate up to 25 roles that the bot will never grant through any of its commands — even if included in rank grant lists. This protects administrative roles from accidental assignment.

Nickname Prefix Display

The “Prefix Display” menu controls whether position prefixes are added to employee server nicknames (e.g. [OW-001] Pancakeboyman_8).
  • Enabled — the bot updates the employee’s nickname whenever their rank changes.
  • Disabled — prefixes are saved internally but not applied to server nicknames.
