Setting Up Google Forms Integration

What is This?

This module connects Google Forms to Discord. When a user submits a response in your form (e.g. faction recruitment application), the bot posts a structured card into the designated channel, allowing leadership to approve or deny the submission with buttons directly in Discord:
  • “Approve” / “Deny” — with mandatory reason input;
  • Applicant receives an instant DM notification with the decision;
  • Results are logged into the designated results channel.

How to Configure

  1. Open /configure → navigate to the “Google Forms Settings” page.
  2. Enable the module: set status menu to “Enabled”.
  3. Click “Configure Forms” → “Add” and complete the modal:
    • “Form URL” — complete URL to your Google Form (required);
    • “Form Name” — user-friendly title, e.g. MVD Application (optional);
    • “Responses Channel” — destination channel for incoming submission cards;
    • “Thread ID” — optional thread ID to route responses to a specific thread;
    • “Results Channel” — destination channel for approval/rejection outcome logs.
You can connect up to 50 forms, shown 8 per page.

Editing and Deletion

  • “Edit” — choose a form from the list and update fields; blank fields remain unchanged.
  • “Delete” — select a form from the list to remove integration.

Workflow After Setup

  1. User submits the Google Form — the submission appears in the responses channel as an embed card containing the user’s name and all form questions/answers.
  2. Card status: “Under Review”.
  3. A leader clicks “Approve” or “Deny”, enters a justification reason (minimum 10 characters), and confirms.
  4. The card status updates to “Accepted” or “Rejected”, the applicant receives a direct message, and the resolution is archived in the results channel.
To receive responses from Google Forms into Discord, the form must be linked to the bot by the project’s technical administrator (one-time setup on Google’s end). All ongoing management — adding forms, channels, and reviewing responses — is handled directly in Discord.
